FlightNotes Privacy Policy

FlightNotes is a pilot briefing and note-taking app from Appulize. You can use the app without a FlightNotes account, in which case your notes are stored on your devices and may be stored in your private iCloud account. If you create an account and enable web sync, the information described below is also stored on FlightNotes servers so it can be synchronized between your devices.

Information we collect

• Account information: your name, email address, password hash if you use email and password, and provider identifiers if you use Sign in with Apple or Sign in with Google. FlightNotes never stores your plaintext password.
• Web sync content: synced notes and table text, settings, saved routes, acknowledgements, alternates, timestamps, and other data needed to keep your FlightNotes devices consistent. Synced data is encrypted in transit and access-controlled at rest, but it is not end-to-end encrypted and can be read by the service when necessary to operate sync or respond to a support request you initiate.
• Attachments: note images and other uploaded files. Images may contain embedded EXIF metadata, including date, device, and GPS location information. FlightNotes does not currently strip this metadata before web sync.
• AI briefing content: the selected airports, FIRs or route, the NOTAM text sent for summarization, optional briefing preferences, and the generated summary.
• Subscription and usage information: App Store transaction and entitlement identifiers, subscription status, and AI usage totals. We do not receive your payment-card details.
• Device and security information: push-notification tokens, App Attest information, and ordinary server security logs such as IP address and request time.
• Diagnostics: crash, performance, and operational logs used to keep the app reliable. Diagnostic context may include device and app identifiers, the feature being used, filenames, and an airport, FIR, route, sync-record, or summary identifier, but not the full text of your notes or NOTAM briefing.

How we use information

We use this information only to authenticate your account, synchronize your data, generate and deliver AI NOTAM summaries, manage subscriptions and usage, send account email, prevent abuse, secure and back up the service, provide support, and diagnose reliability problems. We do not sell personal information or use it for advertising or cross-app tracking.

Service providers

Information is processed only by providers needed to operate FlightNotes: Apple for Sign in with Apple, iCloud, App Store subscriptions, and push notifications; Google for Sign in with Google; the configured AI provider for summary generation; SMTP2GO for delivery and failure reporting of account email; Sentry for crash, performance, and operational diagnostics; and Backblaze B2 for encrypted backups. These providers process information under their own terms and privacy commitments.

Retention and deletion

We retain account, sync, and AI briefing information while needed to provide the service and operate it safely. You can permanently delete your FlightNotes account from Settings in the app. Account deletion removes your profile, authentication identities, submitted NOTAM content, generated summaries, sessions, device tokens, synchronized records, and uploaded sync attachments from the live service. Account-de-linked App Store transaction records may be retained where needed for financial, fraud-prevention, security, or legal obligations.

Deleted information may remain in access-controlled local backups and encrypted off-site backups until it expires through backup rotation. The current disaster-recovery rotation can retain historical snapshots for up to five years. Backups are used only to recover the service from data loss or corruption; deleted data is not restored to the live service except where unavoidable during disaster recovery, after which deletion requests remain subject to the same process.

Your choices

You can disable AI features, leave web sync off, sign out without deleting your account, manage your subscription through Apple, or permanently delete the account in the app. FlightNotes also provides an in-app backup export for portability. Disabling web sync does not by itself delete information already synchronized; use account deletion if you want that server copy removed.
